Big Bang’s Top Tips for a Smooth Event Day!

A well-organised event day ensures a great experience for your fundraisers, and a stress-free time for everyone involved. With a little preparation, you can help things run smoothly, avoid delays, and ensure participants feel supported from start to finish. Here are our top tips to keep everything on track!


Time Slots


Before event day, you’ll need to return your participant lists to us. It’s important that participants are aware of their 10- to -15-minute time slots and arrive promptly. We ask that they arrive 30 minutes before their slot to allow time for registration and harnessing.


Our schedule is carefully managed to ensure a smooth flow - arriving too early or late can disrupt the event, impact our team, and lead to unnecessary waiting for your participants.


Top Tip: Start by filling out your time slots from each side of the 30-minute lunch break. This helps prevent big gaps and avoids a ‘stop-start’ event day!

Health & Safety


To keep things running smoothly, ask your fundraisers to confirm they’ve read our Health Warning Notice ahead of time. This minimises last-minute issues and delays, such as removing jewelry, watches, or wearing unsuitable clothing (skirts, slip-on shoes, or heels are not ideal for abseiling!).


It also avoids the potential discomfort of someone being outside our weight, height, or age limits. For insurance compliance, we must weigh participants on-site.


Unfortunately, if someone doesn’t meet the requirements, they won’t be able to take part. No one wants to turn participants away, so please ensure they’re aware of the restrictions and encourage them to reach out with any questions in advance.

Photo Consent & Paperwork


Participants must complete our waiver on the day, as it requires a countersignature from our team. However, to reduce paperwork and streamline check-in, we kindly ask that any forms required by your organisation - such as charity registrations or photo consent forms - be completed before event day.


This saves time and makes the experience much smoother (and a lot less faff for everyone!).


Volunteers - Top Tips


We’ll provide enough crew to ensure a safe and well-run event, with each team member assigned a specific role and location. However, having the right number of volunteers in key spots can make a big difference in creating a seamless experience for your participants.


Where to place volunteers for an abseil event:


 ✔ Registration area – Greet fundraisers, ensure groups are in order, and collect any last-minute donations.


 ✔ Harnessing to abseil point – If our event includes a ‘runner’ to guide participants, consider adding a volunteer to provide a familiar face from the charity.


 ✔ At the top – Chat with participants, ease any nerves, and offer encouragement before their abseil. Our instructors will be there too, but they’ll be focused on safety and guiding participants through the process.


 ✔ At the bottom – Capture photos, hand out medals or certificates, and celebrate participants’ achievements.


With the right preparation and a well-placed volunteer team, your event will run smoothly and leave a lasting impression on your fundraisers.
